Throughout BSI, users can launch the Right-Mouse Button (RMB) menu by right-clicking on a field in a table. Some of the standard options inside an editor include Mass Change, Insert/Delete Rows, Copy, and Paste. After a specimen has been committed to BSI, several additional right mouse button options are available in any table with the BSI ID displayed. These options let you view data relating to the selected BSI ID(s) or to modify them.

Example: Professor Hahn regularly locates specimens he needs in his physical freezers before noting the processes he completes on them in BSI. He finds the correct specimens in the Locations container hierarchy, then uses the available right-mouse button options to edit and create requisitions including these specimens. He frequently uses the “Ship” right-mouse button option to ship specimens to outside researchers.

See All in Sample

The See All in Sample option allows users to view information pertaining to the specimens of a sample or multiple samples in the Specimen Viewer. Users must have permission to access the selected specimens.

To view specimen data for a selected sample:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select See All in Sample. See All In Sample
  4. The Specimen Viewer table displays information on the specimens in the sample.

Show Location

The Show Location option allows users to view the specimen location in the Specimen Viewer. Users must have permission to view the selected specimens.

To view the location of a specimen:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select Show Location. Show Location
  4. The Specimen Viewer table displays information for the selected specimen(s). The Box Layout tab is open.

Copy Specimen

To ease the Data Entry process, you can locate a specimen and copy it. Copy SpecimenUsers must have the appropriate role permission to copy specimens.

The next available BSI ID (with an unused Sample ID) after the copied specimen’s ID will be assigned to the new specimens. All vial/sample level fields will be copied to the new specimens except BSI ID, Sample ID, Sequence, and any system-generated date fields. New specimens will be associated with the same subject as the copied specimen.

  1. Find the BSI ID of a specimen which you wish to copy in any editable table in BSI, including a Data Entry batch, an interactive table report output, the locations manager, or the specimen viewer.
  2. Right click the specimen and select Copy Specimen.
  3. Navigate to the locations container in which you want to create new specimens.
  4. Highlight any number of continuous spaces and right click.

  5. On the confirmation dialog that opens, select OK to continue creating the specimen(s) or Cancel to exit the dialog.
  6. A notification will open letting you know if the commit was successful. Select OK.Box layout tab

Edit Specimen

The Edit Specimen option allows users to edit specimens in the database. Users must have permission to edit specimens.  

To edit a specimen:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select Edit Specimen.
  4. A modify Data Entry form is launched, containing all the specimens to be edited.  For single and multiple specimens, users have the option to toggle between a data entry form or a table view. The data entry editor format can be set using Data Entry user preferences.
  5. Edit the specimen data or Import specimen data.
  6. When all of the desired data has been modified and the batch is free of errors, commit the batch.

Report On

The Report On option allows users to run reports on the selected specimens. Users must have permission to access the Reports Manager.

To run a report on a specimen:

  1. Highlight one or more specimens that have a BSI ID.

  2. Right-click on the selection and open the RMB menu.

  3. Select Report On.Report On

  4. The Select Report Type dialog will open.  Users can choose to run a Standard Report or a Saved User Report.select_report_type.png

    1. To run a Standard Report, in the Select Report Type dialog select the type of report. Users can choose from one of the many Standard Reports or choose to create a User Defined Report.

    2. To run a Saved User Report, the user can select a saved report from their user directory.

  5. The Report Editor will appear.  Follow the instructions for each tab. The BSI ID of the selected specimen will be automatically added to the Search tab.

Add Specimen

The Add Specimen RMB option, available in the Locations module, allows users to add new specimen data to the inventory. When using this option, specimens are added with highlighted empty locations reserved for them. Users must have permission to add specimens.

To add a new specimen via Locations: Adding Specimen

  1. Highlight one or more empty locations.  If occupied locations and empty locations are highlighted, only the empty locations will be available in the Data Entry Editor.  
  2. If only occupied locations are highlighted, Add Specimen will not be available on the RMB menu.
  3. Right-click on the selection and open the RMB menu.
  4. Select Add Specimen.
  5. A new Data Entry editor will open, containing the same number of rows as the number of empty locations highlighted.
    • For single specimens only, users have the option to use a data entry form or table. The data entry editor format can be set using Data Entry user preferences.
  6. Add specimen data to the batch. The location information is already filled in.
  7. When all of the desired data has been entered and the batch is free of errors, commit the batch.

Destroy Specimen

The Destroy Specimen option allows users to destroy specimens in the database. Only specimens with a Vial Status of In can be destroyed by using the RMB actions.  Users must have permission to destroy the specimens.  

To destroy a specimen:

  1. Highlight one or more specimens that have a BSI ID.

  2. Right-click on the selection and open the RMB menu.

  3. Select Destroy Specimen.Destroy Specimen

  4. The Destroy Specimens dialog appears. Select Cancel to close the dialog without destroying the specimen.

  5. If needed, enter Notes into the dialog.  Select OK to destroy the specimen.Destroy Specimen Notes

  6. When the destroy is successful, a confirmation Success! note is displayed.

  7. Select OK to close the dialog.

    • If there are vial warnings for the specimen, a Note will ask if the requisition should be opened anyway. If Yes is selected, the editor will open with a Destroy task with a status of Denied applied to the specimen.  If No is selected, the dialog closes and the requisition editor is not opened.

Empty Specimen

The Empty Specimen option allows users to perform an empty task on a selected specimen in the Locations manager. Users must have permission to empty specimens.  

To empty a specimen:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select Empty Specimen. The Empty Task Properties dialog opens.  Select Cancel to close the dialog without making changes. Empty Specimen
  4. Enter task notes if desired.  Select OK to submit the changes.
  5. When the empty is successful, a confirmation Success! note is displayed.
  6. Select OK to close the dialog.
    • If there are vial warnings for the specimen, a Note will ask if the requisition should be opened anyway. If Yes is selected, the requisition will open with the specimen and an empty task added. If No is selected, the dialog closes and the requisition editor is not opened.

Transfer Out Specimen

The Transfer Out Specimen option allows users to transfer selected specimens to another repository using BSI. Users must have permission to transfer out specimens.  

To transfer out a specimen:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select Transfer Out Specimen. Transfer Out Specimen
  4. The Transfer Out Task Specification dialog opens. Specify the Task Destination, if needed. The Note field records notes on a requisition level.  Fill in any required or other necessary fields.  
  5. Select OK to save the changes or Cancel to close the dialog without submitting changes.
    • For databases that have required properties, a Requisition Properties panel where the required fields can be filled out will open.
  6. The requisition will open with a status of In Process and contain the selected specimens.  
    • If there are vial warnings for the specimen, a Note will ask if the requisition should be opened anyway. If Yes is selected, the editor has an unapplied Transfer Out task for each specimen. If No is selected, the dialog closes and the requisition editor is not opened.

Requisition Specimen

The Requisition Specimen option allows users to open a new requisition with the selected specimens. Users must have permission to submit requisitions.

To add a specimen into a requisition:

  1. Highlight one or more specimens that have a BSI ID.
  2. Right-click on the selection and open the RMB menu.
  3. Select Requisition Specimen. Requisition Specimen
  4. A new Requisition Editor opens, containing the specimens selected.
  5. The requisition is submitted and has a status of In Process.  
    • For databases that have required properties, a Requisition Properties panel where the required fields can be filled out will open.
  6. The requisition will open with a status of In Process and contain the selected specimens.  
    • If there are specimen warnings for the specimen, a Note will ask if the requisition should be opened anyway. If Yes is selected, the editor opened and the specimen would need to be Requested. If No is selected, the dialog closes and the requisition editor is not opened.
  7. The requisition is available for processing.

Aliquot Specimen

The Aliquot Specimen option allows users to perform an aliquot task on a selected specimen in the Locations manager. Users must have permission to aliquot specimens.  

To aliquot a specimen:

  1. Select and right-click on a specimen that has a BSI ID and select Aliquot Specimen. Aliquot Specimen
  2. A dialog will display to notify the user that the aliquot task was successfully committed. Aliquot Selection Successful
  3. Highlight any number of empty spaces (the same as the number of children) from the same location and right-click on one of them. Select Create Child Specimens Here. Create Child Specimens here
  4. In the Child Completion dialog, fill in any required fields.  Location information is filled in. The child location(s) correspond to the empty cells selected in the box.
  5. After entering data, commit the batch. The child specimen(s) appear in the corresponding location(s). Vial Status for both child and parent is In.
    • If a RMB aliquot is canceled, the parent specimen will no longer be reserved in the requisition and the requisition will be canceled.

Ship Specimen

The Ship Specimen option allows users to ship selected specimens. Only specimens with a Vial Status of In can be shipped by using the RMB actions.  Users must have permission to ship specimens.  

To ship a specimen:

  1. Highlight one or more specimens that have a BSI ID.

  2. Right-click on the selection and open the RMB menu.

  3. Select Ship Specimen. The Ship Task Specification dialog opens.  Select Cancel to close the dialog without making changes. Ship Specimen

  4. Enter Requisition and Task Properties.  Select OK to submit the changes.

  5. When the ship is successful, a confirmation Success! note is displayed.

  6. Select OK to close the dialog.

    • If there are vial warnings for the specimen, a Note will ask if the requisition should be opened anyway. If Yes is selected, will open with the specimen and a Ship task added. If No is selected, the dialog closes and the requisition editor is not opened.

Withdraw Specimen

The Withdraw Specimen option allows users to withdraw selected specimens. Users must have permission to withdraw specimens.  

To withdraw a specimen:

  1. Highlight one or more specimens that have a BSI ID.

  2. Right-click on the selection and open the RMB menu.

  3. Select Withdraw Specimen. Withdraw Specimen

  4. The Withdraw Task Specification dialog opens. Specify the Task Properties, if needed. The Note field records notes on a requisition level.  

  5. Select OK to save the changes or Cancel to close the dialog without submitting changes.  

  6. When the withdraw task is successful, a confirmation Success! note is displayed. Select OK to close the dialog.

    • If there are no vials selected that are available to be requested or have warnings overridden, a Note will ask if the requisition should be opened anyway. If Yes is selected, the editor will open with the specimen and a Withdraw task added.  If No is selected, the dialog closes and the requisition editor is not opened.
