To create a Requisition Task Template:

  1. Select New. The New Requisition Task Template dialog will open.Requisition Task Templates
  2. Fill in the fields:
    • Task Template Name - This field is required.
    • Description
    • Institution
    • Status
  3. Select OK. The user can then add tasks to the template.

Example: Professor Beckett’s workflow includes pulling new DNA specimens from his freezers and performing gene analysis on them regularly. Instead of requisitioning those specimens and adding each task every time, he can create a Requisition Task Template containing those tasks once and apply it to any requisition he wants in the future.

  1. Professor Beckett can either apply Pull, Procedure, and Empty tasks, as he normally would, in his next requisition then use menu options to save a task template matching that configuration, or he can create a task template from the Requisition Task Template manager. Let’s say he uses the second option.
  2. From a new Requisition Task Template editor, he would first add the Pull task to track that he removed specimens from the freezer. He can pre-enter static property details in the editor.
  3. Then he would add the Procedure task, which he uses to record the results of running his specimens through gene analysis, and specify any properties he knows, such as the station where the processing will take place.
  4. Next he would add the Empty task, since he uses up the specimens completely during his analysis and doesn’t want them to be available for further requisitioning.
  5. Professor Beckett, on each task’s Applies To tab, selects criteria which defines the specimens the task will be applied to. Pull and Procedure tasks will be applied automatically to all specimens from the “XYZ” study, while only specimen from the “XYZ” study which have a volume of “0.00” will have the Empty task applied to them. This enables Professor Beckett to automatically apply tasks to only the appropriate specimens in his requisition, including applying the empty task to specimens which are used up completely during Procedure task completion.
  6. Finally, he can save and activate the template before applying it to his requisitions. 

To view or edit a Requisition Task Template:

  1. Select the template to view or edit.
  2. Press the View/Edit button.View/Edit
  3. Select OK. The user can then add tasks to the template.

To delete a Requisition Task Template:

  1. Select the template to delete.
  2. Press the Delete button. The Confirm dialog will open.Delete
  3. Select Yes to confirm and delete the template or No to cancel and exit the dialog without deleting the template.

To duplicate a Requisition Task Template:

  1. Select the template to be duplicated.
  2. Press the Duplicate button. The New Requisition Task Template dialog will open.Duplicate
  3. Fill in the fields:
    • Task Template Name
    • Description
    • Institution
    • Status
  4. Select OK.
Example: Let’s say Professor Beckett finds his new Requisition Task Template very useful, but wants to create a second so that he can use a new procedure he will run on alien DNA specimens, while still being able to apply the previous template to his human DNA specimens.
  1. First, in the Requisition Task Template manager, he can highlight the Requisition Task Template he already created, then select Duplicate.
  2. After entering a new name for the template, he can select Edit on the manager to open the new template and edit the Procedure task’s procedure ID value to refer to his alien DNA experiment.

To activate a Requisition Task Template:

  1. Select a template to be activated. The status of the template cannot already be Active.
  2. Press the Activate button. The template will be activated.Duplicate

Adding Tasks to Requisition Task Templates

To add a task to a Task Template:

  1. From the Requisition Task Templates Editor, select the Add Task button. A dialog will open.Adding Tasks
  2. Select the task type to be added.Task type
  3. Press OK.
  4. Fill in desired fields in the Task Properties tab in the Editor. Some tasks may have database default values preset in this tab.
    • Task Name - This field is automatically populated with the task type name.
    • Task Destination
    • Origination
    • Attachment
    • Task Instructions
    • Station
    • Assign To
  5. From the Applies To tab, the user can specify search criteria which will define specimens the task is applied to in requisitions.
  6. Users can save and then apply task templates in their requisitions.

The task can be removed by highlighting it and pressing the Delete Task button. The Up and Down buttons can be used to change the order of the tasks. 

Child Vial Properties

Requisition task templates are able to specify the Number of Children to Create and a Starting Child Sequence Number for the Aliquot, Create Child Specimens, and Process tasks. These values will be used if they present in the Requisition Task Template. The default values can be added in the Number of Children to Create and Starting Child Sequence Number fields in Child Vial Properties.

If the Requisition Task Template is applied in the Requisition Properties dialog, it will begin to create the specified number of child specimens and apply the Starting Child Sequence Number that was added in the Requisition Task Template Editor. If the Requisition does not have a Requisition Task Template or does not have a Starting Child Sequence Number in a Requisition Task Template, the User Preference will be used or it will be blank for the user to enter.

Requisition Task Templates may also specify pooled specimen values for the Pool task. Users may select a Parent Grouping Option and specify the Pool Child Starting sequence within a requisition task template. If the Requisition Task Template is applied in the Requisition Properties dialog, the Select a Parent Grouping Option and Pool Child Starting Sequence fields will be selected/filled out as specified. If this information is not specified in the template, the pooled child vials will have their Sequence Numbers assigned according to the User Preference. If no User Preference is set, users will be prompted to enter a starting Sequence Value. Users will also be prompted to specify their Grouping Fields within the Pool task dialogs in the requisition.

The Create Child Vial and Specify Pooled Specimens properties within a Requisition Task Template are more powerful when used in conjunction with the Applies To functionality. Tasks can be automatically begun within a requisition when child properties are specified and Applies To criteria is set within a Requisition Task Template.

Example: Child Vial Properties are entered within a Requisition Task Template for the Aliquot task.

Applies To criteria is also set for this task within the Requisition Task Template. The Aliquot task will automatically be applied to vials with a Material Type of “Blood”.

The Aliquot task is automatically begun when the Requisition Task Template is applied in a requisition.

Task Dependencies

Task Dependencies are listed on the Task Properties of each task. To make the currently selected task dependent on the completion of another task, mark the checkbox of the other task in this section. Dependencies may be automatically assigned based on task order by selecting Automatically Assign Task Dependencies from the Tools menu
