Assign BSI IDs

Use the Assign BSI IDs feature to generate new Sample IDs and Sequence Numbers for vials in an Add batch.  New vials are assigned unused Sample IDs within a specified range and Sequence Numbers starting at a specified value.  Vials containing identical values for a specified field (Grouping Fields) are grouped together with the same Sample ID.  When a different value for the specified field is reached a new Sample ID is used for vials with the new value and Sequence Numbers are assigned to those vials sequentially, starting with the specified start value.

Once IDs have been assigned, they will automatically be reserved for the batch.  The IDs will remain as reserved until the batch is committed or deleted. IDs can be manually unreserved.

In a Data Entry Add batch, using this tool to update Sample IDs can cause already entered sample level data to be updated. If this would happen, then a Sample Data Changed! dialog will open. The dialog shows the changes which will be made and provides an option to continue with the change, or to cancel the change. The ability to continue with changing Sample data on this dialog is controlled by a permission, so if a user does not have this permission, the button to continue will not be active.

To assign BSI IDs:

  1. Create or open a existing Add batch.
  2. Save the batch (required for new unsaved Add batches; optional for other batches).
  3. Select the row(s) to which to assign BSI IDs.
  4. Select Assign BSI IDs... from the Tools menu. The Assign BSI IDs dialog will appear.
  5. Under ID Specification, enter the first Sample ID in the Assign Sample IDs starting at: text box.
  6. In the Assign sequence number starting at: text box, enter a starting sequence number.
  7. In the Grouping Fields section, select fields to group Sample IDs by first pressing the Fields... button. A Select Sample Fields dialog will appear.
  8. From the Available list, select a field or multiple fields while holding down the Ctrl key and press the > button.  The selected fields will move to the used list.  The >> button will move all of the Available fields into the Used list.
  9. Remove fields from the Used list by selecting them and pressing there < button.  The << button will move all of the used fields back to the Available list.
  10. Once all of the desired fields are moved into the Used list , press the OK button.  The selected fields will appear in the bottom pane of the Assign BSI IDs dialog.
  11. Once the starting Sample ID, starting Sequence number, and grouping field(s) have been selected, press the OK button.  Sample IDs, Sequence Numbers and BSI IDs will be generated for the selected rows.
To assign BSI IDs with used Sample IDs:
  1. Create or open an existing Add batch.
  2. Save the batch (required for new unsaved Add batches; optional for other batches).
  3. Select the row(s) to which to assign BSI IDs.
  4. Select Assign BSI IDs... from the Tools menu. The Assign BSI IDs dialog will appear.
  5. Check the box that says Assign Existing Sample IDs. This will allow BSI to search for committed specimens with Sample IDs matching the grouping field selection.
  6. In the Grouping Fields section, select fields to group Sample IDs by first pressing the Fields... button. A Select Sample Fields dialog will appear.
  7. From the Available list, select a field or multiple fields while holding down the Ctrl key and press the > button.  The selected fields will move to the used list.  The >> button will move all of the Available fields into the Used list.
  8. Remove fields from the Used list by selecting them and pressing the < button.  The << button will move all of the used fields back to the Available list.
  9. Once all of the desired fields are moved into the Used list, press the OK button.  The selected fields will appear in the bottom pane of the Assign BSI IDs dialog.
  10. Once the check box and grouping field(s) have been selected press the OK button. The pre-existing Sample IDs and the next unused Sequence Numbers (BSI IDs) will be generated for the selected rows. If there are multiple Sample IDs that match grouping field(s) selection, a dialog box will appear, displaying all of the matching Sample IDs.  A user can select only one of the Sample IDs from this box.  After selecting the Sample ID, press the OK button. BSI IDs will be generated with the next available Sequence for the selected rows.

Reserve BSI IDs

Users can reserve available BSI IDs for prospective specimen records in a Kit, Data Entry Add batch, or a Shipments batch. Once the BSI IDs are reserved, they remain reserved until the specimen records are committed in a Data Entry Add batch, or the kit or batch where the reservation was made is deleted. An error is returned if the BSI IDs cannot be reserved. If a reserved BSI ID is entered in a Data Entry Add or Change ID batch, an error is returned and the batch cannot be committed.

To reserve BSI IDs:

  1. In the editor, select the rows with the BSI IDs to be reserved.
  2. Select the Reserve BSI IDs option from the Tools menu. A Reservation Complete message is displayed if the selected IDs are successfully reserved.
  3. Press the OK button on the message to return to the editor.

To remove BSI ID reservations:

  1. Select the specimens with BSI ID reservations to be removed.
  2. From the Tools menu, select Remove BSI ID Reservations...
  3. The BSI ID reservations are removed, and a Success message opens.
  4.  Select OK in the message to return to the editor.
