Like most tables in BSI, the Requisitions Editor displays information in a spreadsheet-like format.  Each specimen is represented by a row in the editor.  The columns in the editor display sample and specimen fields.

As with other tables in BSI, columns can be rearranged, hidden or shown and sorted.  The data view of columns can be changed individually by column or all columns in the editor can be changed by selecting the Set all columns to data view or Set all columns to format view option from the View menu.

The current view of the requisition is saved.  The same column order and sort will be displayed the next time the requisition is opened by any user. Users can save a default requisition view that is saved between sessions.

Special Columns in the Requisitions Editor - Some columns that display specimen and sample data are unique to the Requisitions Editor, such as Volume Remaining per Group and Number of Specimen Remaining per Group.  These are available to assist with choosing the proper specimens for the inclusion and processing of the requisition.  The Parent ID field is also unique in the requisition and does not correspond to the Parent Id field in the specimen table.  See Special Columns in the Requisition Editor for a detailed description of these fields.

Task Columns - Task columns can display various information about the task depending upon the view option selected.  Tasks are edited and processed by selecting options from the task's column header menu.  A separate column exists in the Requisitions Editor for each task added.

Columns unique to the Requisition editor

The following columns are unique to the Requisitions Editor:

  • Include - This displays the current Include Status of the specimen within the requisition.
  • Revision - This column indicates when a specimen(s) are added to a submitted requisition.  The Revision column will have an incremented value for the specimens added after the requisition has been submitted and the initial specimens in the requisition have been included.
  • Min Vials and Min Volume - These columns display the threshold for Minimum Vial Warnings and Minimum Volume Warnings.  When specimens from a group (the same Sample ID and Material Type) with a vial status of In drop below these levels, warnings will be applied to the specimen(s) in the requisition and the submit will fail.  The user may then deal with the warnings before submitting the requisition again.  The values in Min Vials and Min Volume are editable by users with the appropriate role-permissions.
  • # Vials Remaining/Group - This column calculates the number of specimens in the database that have a Vial Status of In with the same Sample ID, Material Type, and Volume Unit as the specimen in the requisition.  This calculation is performed only once, at the time the specimen is included and reserved in the requisition.  If additional specimens are added to the requisition from the same group at a later time, the calculation will only be accurate for the new specimens.  The calculation will not be redone for any specimens already included in the requisition.
  • Volume Remaining/Group - This column calculates the sum of the volume of specimens in the database that have a Vial Status of In with the same Sample ID and Material Type as the specimen in the requisition.  This calculation is performed at the time the specimen is included and reserved in the requisition.  If additional specimens are added to the requisition from the same group at a later time, the calculation will only be accurate for the specimens being added.  The calculation will not be redone for any specimens already included in the requisition.  The calculation does not take Volume Unit into account.
  • Parent Id - This column lists the BSI ID of the parent specimen for any child specimens created in this requisition through an aliquot or process task.  Child specimens that were created in a separate requisition will not display the parent BSI ID in this field, it will be listed in the Global Parent Id field.
  • Global Parent Id - This is the BSI ID of the parent specimen (if any) for this specimen.
  • Study ID at Inclusion - This is the Study ID that was originally assigned to the specimen when it was included in the requisition.
  • Material Type at Inclusion – This is the Material Type value the specimen had when it was first included in the requisition.
  • Comment - Comments for the specimen that are pertinent to the requisition are displayed in this column.  Comments can be entered or edited by selecting Edit Comments from the column header menu.

Default Column View

Users can save a default requisition view that is saved between sessions. By default, all sample and vial fields will be shown.

To save a default column view:

  1. In an existing requisition, use the Hide/Show columns tool to rearrange and hide columns.

  2. Once the columns are shown in the desired order, select Save Default Editor View from the editor's View menu.Default Column View

To restore the system editor column view, select Restore System View from the editor's View menu.


Requisition Editor Column Menus

Many actions taken in the requisition editor can be initiated by selecting options from column menus.  By clicking once on a column header a pop-up menu will appear.  From this menu users may select actions to take on that column.  Some actions require the user to have selected rows prior to selecting the action, others do not.

Many common column header menu options, such as View, Hide, Hide/Show columns, Sort and Properties, are also available in the Requisitions Editor.  These options may be used to change the current display of columns and rows within the Requisition Editor, as is done with many tables in BSI.

Several columns menus, which have special menu items, are used frequently when editing a requisition.

  • Tasks - Each task in a requisition is manipulated from its column header menu.
  • Include column - Include, remove or drop specimens in the requisition from the Include column header menu.
  • Current Label column - Print labels, verify labels, or edit child labels from the Current Label column header menu.
  • Comments column - Add comments to specific specimens within the requisition from the Comments column header menu.
  • Subject Id column - Edit Subject IDs within the requisition without changing the specimens data from the Subject ID column header menu.

Include Column

The Include column header menu provides options for requesting and dropping specimens in a requisition.  These options are available in a sub-menu by right-clicking on the Include column header and hovering the cursor (mouse) over Mark Include Status on the Include column header menu.

Use one of the following options to change the Include status of a specimen(s) in the requisition:Mark Include Status

  • Request Specimen - In a Pending requisition, use this option to change the Include status to Requested. When the requisition is submitted the specimen will become included in the requisition. If the specimen cannot be included at the time of submission users will be prompted on what actions to take. If users attempt to request a specimen which has warnings, the Warnings dialog will be displayed when the requisition is submitted.  The specimen will then have an Include status of Warning. To override the warning, the specimen must be selected and Request Specimen selected again. The Warning on requested specimen dialog will open where the warning can be overridden.  When a warning is overridden the specimen's Include status becomes Overridden.  This is a specialized form of the Requested status and in most cases will be treated the same. Users will not be allowed to override an include status of N/A, because this status is an indication that the specimen does not have a Vial Status of In.  A look at the Vial Status column can help a user determine why they cannot request that specimen.
    • In a requisition that has been submitted, selecting Request Specimen will change the Include status to Included and the Vial Status for the specimen to Reserved unless the specimen in question has warnings.  Warnings for specimens in a submitted requisition must be overridden in the same manner as described above.  Once the warning has been overridden, the Include status will change to Included and the Vial Status will change to Reserved.
  • Cancel Specimen Request - This allows users to remove an Include status of Requested from a specimen and make the Include status Not Requested again.  Any specimens in the user's selection that do not have an Include status of Requested will be removed from the requisition when it is submitted. 
  • Override Warnings - This option will override any warnings on specimen and include them in the requisition.
  • Drop Specimen - Use this option to remove a specimen from a requisition once it has been included.  Only included specimens that have no tasks marked as Completed, Begun, or Redo may be dropped.  Once a user selects Drop Specimens, the specimen(s) selected in the Requisition Editor will be removed from the requisition and automatically returned to inventory.  A record of the dropped specimens will be stored in the requisition's history and can be viewed by running a Requisition History report.
  • Switch Requisition Specimens - Use this option to include specimens in a requisition that are already included in an existing requisition. Only specimens that have a Vial Status of Out or Reserved and an Include Status of N/A can be Switched.

Include Column Statuses

The Include column in the Requisitions Editor displays the current status of the specimen within the requisition.  

The Include column status may be one of the following:

  • Blank status (not requested) - The specimen is eligible to be included and reserved for the requisition but has not yet been requested.

  • Requested - The specimen has been requested for inclusion in the requisition.  The specimen will not be reserved for the requisition until the requisition is successfully submitted.

  • Warning - An Include status of Warning will be applied to a specimen if a warning exists for that specimen when the requisition is submitted or when the specimen is requested in a submitted requisition.  See more about vial warnings in requisitions.

  • Override - The Warning include status has been overridden and the specimen is now available to be included in the requisition.

  • N/A - The specimen is listed in the requisition but cannot be requested because of an invalid Vial Status.

  • Included - The specimen is included in the requisition and the requisition has been submitted.  The Vial Status for the specimen will change to Reserved when the requisition is initially submitted.  The specimen is not available to be included in another requisition until it is Returned to Inventory,  Dropped, or Switched.

  • Returned - The specimen has been returned to the repository and has a Vial Status of In.  It is available to be requested and included in a different requisition.

  • Dropped - The specimen has been dropped from the requisition and has a Vial Status of In. Specimens that have a task status of Begun, Completed or Redo cannot be dropped from a requisition.

  • Reserved Child - The specimen is part of a Begun aliquot or process task and is a child specimen of another specimen in the requisition.  The BSI ID of the parent specimen is listed in the Parent ID column.  The BSI ID for the specimen is reserved in the database but the specimen does not become a 'real' specimen until the task is completed.

  • Switched - The specimen has been reserved in another requisition. The specimen will remain listed in the original requisition but cannot be used.

  • Requested Switch - The specimen has been requested for inclusion in the requisition but has a Vial Status of Out or is Reserved in another requisition.

  • Requested Child - The specimen is a child specimen and has been requested for inclusion in a Requisition.
  • Denied – The specimen belongs to a study that requires approval before tasks can be completed.  The request for approval was denied, and the specimen is no longer eligible for processing in the requisition.  The Approval Status has been marked Denied and the specimen is not included in the requisition.


Current Label Column

The following options are available from the column header menu for the Current Label column:

  • Print Labels - Select this option to print labels for the selected rows.
  • Verify Labels - Selecting this option will open the Scan Printed Labels to Verify dialog with the rows selected.
  • Discrepancies - For all selected specimens, Add, Resolve, Edit, Delete, or Mark as Irresolvable.
  • Edit Child Labels - This option allows for child labels for a Begun aliquot task to be edited within the requisition editor only so that labels may be printed before the task is completed.  Changing child labels with this option will NOT change any data in the database.  Once the Requisition Editor is closed after changing child labels, any changes made to the child labels using this option will be lost.
    • Selecting Edit Child Labels opens an Importer/Editor dialog containing one row for each of the rows selected in the requisition editor.  There are two columns in this dialog: BSI ID and Current Label.  The Current Label field can be edited manually, with the Mass Change option or by importing and matching on the BSI ID.  When the labels have been changed and OK is pressed, the changes will be seen in the Requisition Editor for the current edit session only.  Select Cancel to exit the dialog without changing any labels in the Requisition Editor.Importer/Editor

Subject ID Column

The Edit Subject IDs option allows for Subject IDs to be edited within the Requisitions Editor only.  Printing the editor or any task reports will display the edited Subject IDs not the actual Subject IDs stored in the database.  Changing Subject IDs with this option will NOT change any data in the database.  Once the Requisitions Editor is closed, any changes made to the Subject IDs using this option will be lost.

To edit Subject Ids for a specimen(s) in the Requisitions Editor:

  1. Highlight the specimens in the Requisitions Editor.
  2. Select Edit Subject IDs from the Subject ID column's header menu. This option opens an Importer/Editor dialog that will allow you to edit the Subject Ids for the specimens selected. The Importer/Editor dialog will display the BSI ID and Subject ID columns.  It will contain one row for each row selected in the Requisitions Editor.Edit Subject IDs
  3. Edit the Subject IDs by:
    • Editing the Subject ID column manually.
    • Using the Mass Change option.
    • Select the Import button to import Subject IDs, matching on the BSI ID.
  4. Select OK to change the Subject IDs within the Requisitions Editor.

Comment Column

The Requisition Comment column exists only in the Requisitions Editor. Requisition Comments for a specimen can be entered here to aid in processing the requisition.

To enter comments for a specimen(s) in the Requisitions Editor:

  1. Highlight the specimens in the Requisition Editor.
  2. Select Edit Comments from the Comment column's header menu. This option opens an Importer/Editor dialog that will allow users to edit the Comments column for the specimens selected.  The Importer/Editor dialog will display the BSI ID and Comments columns.  It will contain one row for each row selected in the Requisitions Editor.Comments Menu
  3. Enter comments by:
    • Editing the comments manually.
    • Select the Import button to import comments, matching on the BSI ID.
  4. Select OK to add the comments to the Requisitions Editor.
